This full-time, entry-level position requires carrying out various administrative activities within the legal team, such as proofing, printing, stamping, and registering all legal documents. The role also involves coordinating with different departments and ensuring the safe custody of legal documents by efficient filing as per prescribed norms and processes. The ideal candidate should have 1-3 years of relevant work experience and possess good communication skills and a strong understanding of legal processes.

Eligibility

  • Education: Graduate/Post Graduate in Law from a reputed institute.
  • Experience: 1-3 years of relevant work experience.
  • Skills:
    • Good understanding and interpretation of laws.
    • Good communication skills.
    • Proficiency in drafting property-related documents.
    • Knowledge of legal trackers and related software.
  • Special Attributes: Qualified Solicitor preferred.

Role and Responsibilities

  1. Document Management:
    • Proof, print, stamp, and register all legal documents.
    • Ensure the safe custody of legal documents by prompt and efficient filing.
    • Update weekly legal tracker to cover LoIs received, LLA Prepare/Executed, and Top Sheets.
  2. Coordination and Communication:
    • Coordinate with Retailers/Leasing to obtain documents required for registration.
    • Support the Manager – Legal in ensuring the registration of the final agreement document as per statutory guidelines.
    • Verify all accompanying documents as per the standard checklist.
  3. Financial Coordination:
    • Ensure cheques for security deposit, stamp duty, and registration charges are received.
    • Coordinate with the accounts team to get the pay order made for franking of stamp duty.
  4. Registration and Compliance:
    • Conduct registrations of all agreements post verification from Retailer and Leasing.
    • Update the registration database with salient details.
    • Save all scan copies of registered agreements in the shared drive for easy retrieval.
  5. Documentation and Reporting:
    • Prepare drafts of NOC to retailers for finalization by the Manager – Legal.
    • Prepare regular/monthly MIS reports for registrations undertaken for the Corporate Legal team’s review.
  6. Support Functions:
    • Help the Manager – Legal in preparing letters for the fit-out process.
    • Prepare folders for every retailer with all documents as per the legal checklist.
    • Maintain records of dates/appearances for legacy litigation cases.
